Preparing for calibration

Sending a gauge or specimen to the laboratory for calibration requires some preparation. To help you prepare for this step, we have put together the following tips.

Calibration request

According to SIST EN ISO/IEC 17025:2017, it is the client or user who is obliged to provide the laboratory with the calibration requirements for its calibration specimen (hereafter referred to as criteria). For many users this can be a difficult task, but on the other hand metrology experts know their requirements well and are trained to specify them.

Kratki guidance on preparing the instrument for calibration:

  1. When ordering a calibration, first ask what your internal requirements are, paying particular attention to the requirements of the standards that apply to you and to the requirements of your customers. Look at your internal criteria documents, HACCP statements, ISO quality system requirements if you have one, your quality monitoring department requirements, etc. In these documents you will find basic information on the required accuracies, perhaps even on the recommended measurement uncertainties. If you have a criteria administrator, this person will be the right person for your questions – together they will define the requirements for the laboratory and write them down.
  2. Next, look at the process in which the criterion is involved to determine the importance of the criterion and whether it is your reference, a working criterion, an ancillary criterion or something else. Typically, references and important performance criteria are calibrated in accredited laboratories or, as is often the case in the field, processes or parts of processes.
  3. If it is possible to send the gauge to a laboratory, select this option. If you need professional help with dismantling and reassembly, please enter this in the note on the form below. Field calibrations are more time-consuming and not best suited for single measurements, but they are an effective solution for calibrating entire processes or parts of processes. Field calibrations are also more complex and costly.
  4. Once you have established this, determine the measuring range that the calibration of the gauge must cover. Focus here on actual use, not on the broad measurement ranges of the instruments. The working area is important, as well as your user upper and lower limits – set at least three points. If necessary, add a point within this if it is particularly important to you. For calibrations of very accurate references, five points are recommended, for most others three points are sufficient, but you can specify fewer or more. In principle, you can also calibrate at just one point, but use this option only in exceptional cases, perhaps when you only want to check a specific point.
  5. Now you know the calibration points, add the requirements for measurement uncertainty, measurement error or at least your desired accuracy, based on the importance of the instrument. This is not a mandatory figure for the form below, as it is often too heavy a factor for the lay user.
  6. If your regulations also prescribe a calibration procedure for the laboratory to carry out the measurement, add this requirement. If you do not have this requirement, you will subsequently coordinate it with the laboratory, as it is a necessary component of the client’s requirements.
